e-Tanzz
Privacy Policy

Plain language, no defined-terms section. This describes what e-Tanzz actually collects, why we hold it, how long for, and what you can ask us to do with it — including if you have never had an account and somebody simply sent you something to sign.
01Who we are
e-Tanzz is an electronic signature service operated by Tsukuba Tech, 茨城県つくば市, Japan. When this policy says “we” it means Tsukuba Tech acting as the operator of e-Tanzz.
This policy covers the e-Tanzz website and application. It does not cover other Tsukuba Tech products, which have their own policies.
02What we collect about account holders
If you create an e-Tanzz account, we hold:
- Your name and email address. The email is your login and where we send notifications about your documents.
- A hash of your password. Not the password itself. We cannot read it, and we cannot tell you what it is.
- Your company name, if you give us one.
- Session records — a hashed session token, when it was created, when it expires, and the IP address and browser it was created from. This is what lets you stay signed in and lets you end sessions on devices you no longer have.
- Usage counts — how many signature requests you have sent in the current month, so we can apply your plan’s limits.
03What we collect about people who sign
If somebody sends you a document through e-Tanzz, you are not our customer and you have no account with us. We still process some information about you, because that is what an audit trail is. You should know exactly what it is.
When a document is sent to you, we record:
- Your name and email address, as entered by the person who sent it.
- When the signing link was sent to you, and when it was first opened.
- When you signed or declined, the name and job title you typed, and — if you drew one — an image of your signature.
- The IP address and browser you signed from. This is part of the evidence record. It is not proof of identity on its own, and we do not use it to build a profile of you or track you across other sites.
- Your reason for declining, if you give one.
The person or company who sent you the document decides what happens to it. If you want your information corrected or removed, ask them first — they control the document. You can also write to us and we will help.
04Your documents
We store the PDF you upload, and the signed version produced when everybody has signed. We keep both. The original is never overwritten, because being able to show what somebody was actually looking at when they signed is half of what makes an audit trail worth anything.
Your documents are yours. We do not read them for our own purposes, we do not sell them or their contents, and we do not use them to train models. Access is limited to your account and to the recipients you name.
05AI features and your documents
e-Tanzz’s AI features — the document check, the summary, and asking questions about a document — work by sending the text of that document to the Tanzz Intelligence gateway, also operated by Tsukuba Tech, which passes it to a language model to produce the answer.
This means:
- AI features are optional. Signing works completely without them.
- Document text leaves e-Tanzz’s own storage when you use one, and is processed to generate that specific answer.
- We do not use your documents to train models.
- Results are stored against the document so the same analysis is not run twice. You can delete them by deleting the document.
If you would rather no document of yours were ever processed this way, do not use the AI features. If you need that enforced at the account level, write to us.
07How long we keep things
Documents and their audit trails are kept while your account exists, because a signed agreement whose evidence has been deleted is worth considerably less than one whose evidence has not.
You can delete a document yourself at any time. Deleting it removes the original, the signed copy and the audit trail together — we cannot delete the document and keep the evidence, and a partial record would be misleading.
If you close your account, we delete your documents and personal data within 30 days, except where we are required to keep something longer by law. Session records expire on their own and are cleared routinely.
08What you can ask us to do
Whether or not you have an account, you can ask us to:
- Tell you what personal data of yours we hold.
- Give you a copy of it.
- Correct it if it is wrong.
- Delete it, subject to the limits described above.
Write to support@tsukuba-tech.com. We aim to answer within 30 days. We may need to confirm who you are first — which, for a request about somebody’s signature, is the point.
10Changes to this policy
If we change this policy in a way that materially affects you, we will email account holders before it takes effect rather than quietly updating the date at the top.
